HIPAA-Compliant Behavioral Health Data Infrastructure

Mental Health America of the Palm Beaches is a nonprofit organization serving hundreds of individuals across Palm Beach County through community-based programs such as Clubhouses, Mental Health Court, and Peer Place. Its mission is centered on creating a supportive environment where people can flourish.

Along with BeeNex, we designed and deployed a HIPAA-compliant, cross-platform case note platform that replaced fragmented manual processes with one unified digital system. Built for tablets, phones, and desktops, the platform standardized documentation across programs, improved visibility for supervisors, and created a more secure, auditable framework for managing case records and access permissions.

The final solution included eight standardized digital forms tailored across three programs, secure PDF generation and storage, four-tier role-based user management, a centralized dashboard with multi-select filtering, batch export with audit logging, an admin-only global notes view, speech-to-text input for faster field documentation, and retry logic designed to improve reliability when internet connectivity was inconsistent.

Before the new system was implemented, staff across three separate programs were managing case notes through paper forms, handwritten notes, email, and disconnected spreadsheets. This created inconsistent documentation, made records difficult to search and review, and left supervisors without a centralized way to monitor activity or prepare for compliance reviews efficiently. Paper-based workflows and emailed PDFs also introduced unnecessary HIPAA risk, while field staff dealing with unstable connectivity could lose completed form data during submission.
